The website of the International Relations Office at the UV provides prospective International Programmes outgoing students with all necessary information regarding the following issues (click on the links below):

Application

 

The application form must be submitted online via Portal de l’Alumne before the deadline set by the International Relations Office. In Useful documents you can download the International Mobility Guide that will give you instructions on how to fill in and submit your application. It is important to point out that your choice of destinations at this point is non-binding, as you will not select your final destination until our award session (late February or early March).

For the language requirement, you will only have to state that you are a student of English Studies or Translation and Interlinguistic Mediation (the International Relations Office will check that). If you already possess a language certificate that certifies your competence (e.g. British Council, TOEFL, IELTS, etc.), you must provide it at this point. If you are planning to apply for a destination with a language different from your speciality/major, then you must also provide a valid certificate at this point or, alternatively, enroll for the language tests (to be held in November for B2 and December for B1).

Nomination

 

If you meet all the requirements, the UV will officially nominate you (provisionally) as beneficiary of an International Mobility grant. Then, the International Relations Office will make a list of precedence will all the selected students, based on academic criteria. Once we have the list, the academic coordinators will call the award session for English Studies and Translation and Interlinguistic Mediation, if necessary. Attendance to this session is compulsory. You will be informed about the date, time and location in due course. If you are absent when you are called out for choosing your destination, you then renounce to your position in the list and will only be able to choose again at the end of the session.

Contact your host university

Once your coordinator has given you a final destination, it is your responsibility to provide the documents that the receiving university requires to nominate you as an exchange student for the next academic year: application form, official transcript, motivation letter, initial learning agreement, a copy of your passport, application for accommodation, etc. You must check the website of the receiving university for the requested documents and make sure you meet the deadlines. Each university has different requirements. If you fail to meet the deadlines (between April and June), your application may be rejected and you may not be accepted as an International student. In order to confirm your acceptance and stay in the receiving institution, it is highly recommended that you send the coordinator of the receiving institution the learning agreement, as the available places in some courses and/or degrees is limited for exchange students. If you follow the steps correctly, the receiving university will send you a letter of acceptance and a welcome pack with information about the city, accommodation, etc. You have to show this acceptance letter when you arrive to the receiving institution to prove that you are an exchange student.

It is also highly advisable that you start searching for accommodation pretty soon. You should try first the Accommodation Office at the receiving university, as they often offer accommodation in their Halls of Residence.

The learning agreement

Before you leave for your Erasmus stay, you will sign an initial learning agreement with your academic coordinator. This learning agreement contains a (tentative) number of courses/credits that you wish to take in the receiving institution, as well as the (corresponding) courses you wish to validate at the University of Valencia. You will produce this initial learning agreement through Portal de l’Alumne and discuss it with your academic coordinator at your home department. In order to check the offer of courses, you must visit the website or contact the Erasmus coordinator of the receiving university. You will find all links and contact information in this blog (just search for your destination and download the factsheet). We will also give you (when available) a list of the courses or modules that students have validated in previous years (to serve as a model for the initial learning agreement).

 

You must bear in mind that the initial learning agreement is only provisional. Once at the receiving university, it may happen that you have to change some courses (for several reasons: clashes in the schedule, courses not offered to International students, the level is inadequate, etc.). If this is the case, you must change your initial agreement in Portal de l’Alumne and produce a «during your stay» version of it. Of course, your coordinator must supervise and accept the proposed changes. Once this is done, your coordinator will sign the new agreement and send it to you. You must then show this new contract to the Erasmus coordinator in the receiving university, who must also sign it. It is important that you keep an original of all documents you sign, as they must be requested by the UV at a later stage for the purposes of the grant. You must also send a copy of the signed-and-stamped learning agreement to your Erasmus coordinator at the UV.

 

Once you finish your stay, the receiving university will send the UV an official transcript of your grades. You must then see your academic coordinator for the recognition of the credits at the UV, according to what is stated in your final learning agreement, signed and stamped by both coordinators (at the UV and at the receiving institution).

Documents

 

What documents do you need to submit before leaving? You will find them in the website of the International Relations Office (follow the links in the HOME section of this blog).

Before you leave (and after you have officially registered at the UV for the relevant academic year), you must submit:

– the initial learning agreement (signed and stamped by your coordinator).

– a copy of the registration at the UV with the number of international credits (ECTS) you will do and the equivalent courses at the receiving institution.

– The original document of acceptance of the conditions, with a photocopy of the DNI (national id. number) of the (joint) guarantor and of the bank book (you must be the account holder).

– The original document of the grant contract for student exchange mobility.

– The original document of a sworn statement that the student is not involved in any incompatibility or prohibition cause.

– The Erasmus Student Charter.

– Confirmation of Arrival (on arrival at your destination; signed and stamped by the receiving institution). Send a fax (0034 96 398 3462) or scanned copy via mail (relaciones.internacionales@uv.es). Keep yourself a copy as proof.

It is necessary that you submit the required documents to the International Relations Office to receive the 70% of the International grant. Payment will be issued when they receive the «Confirmation of Arrival». On return, you will also submit the «Certificate of Stay» (please read carefully the instructions on dates and corrections in the footnotes of this document), a copy of the «EU Final Student Report» and a copy of all the learning agreements signed and stamped by both coordinators (at the UV and at the receiving university). The UV will not be able to pay the last 30% if one of these documents is missing.

Health insurance

 

For your stay, it is important that you have a valid European Health Insurance Card, which guarantees medical assistance in the receiving country.

Extending your stay?

 

If you first applied for only one semester, your stay may be exceptionally extended if (and only if) this is authorized by the receiving institution and your academic coordinator. For this, you must also send this document to the International Relations Office. This must be agreed before the end of your initial stay period. If you do not do this before December 31st of the current year, you will not be entitled to receive an extension of the allotted funding. The extension must immediately follow the initial stay period (with no interruptions). Under no circumstances may the period of stay (including extensions) be over the 30th of September of the current year.

Declining to accept the grant?

 

If, for whatever reason, you decline to accept the grant, you must do it officially by filling in this document, addressed to the International Relations Office BUT submitted to the General Registry of the University of Valencia or any of its Auxiliary Registries.
